BACKGROUND:
Presented and budget approved during the FY24 budget session. This would be replacing our physical 10+ year old phone system to an all cloud solution. RingCentral’s multiple datacenters provide redundancy in emergency scenarios. Phone and desktop application allows for usage without the need of a physical phone allowing for remote access / work from home. Fax, Text, Voicemail, Call Routing and additional services are included in the proposal. Proposal is discounted above the Sourcewell RFP# 120122 state cooperative contract. Additionally, implementation and training are included and will be completed by Vertical Communications in partnership with RingCentral. Attachments included are Sourcewell contract, RingCentral cost proposal, and Vertical Communications agreement on implementation and training at no additional cost.
FUNDING SOURCE / FISCAL IMPACT:
Based on actual number of licenses, this expense is split between the General Fund and the Water & Sewer Enterprise Fund at approximately 70/30 split. All the necessary funds are included in the FY24 budget.
RECOMMENDATION:
Authorize the City Manager to sign the agreement for a three-year term subject to budget appropriations. $34,211.98/year - 3-year agreement total: $102,635.94.
