BACKGROUND:
The current Landscape Maintenance Contract No. 2020-002 was awarded for an initial 3-year term (October 1st, 2019 to September 30th, 2022) with a possibility of three (3) one (1) year renewals. This will be the last of the available renewals.
The contract stipulates that after the initial three-year term, contract amounts shall be increased each additional year to account for increases in the Consumer Price Index (CPI).
The renewal letter with the current and new (October 1st, 2024 to September 30th, 2025) pricing is attached to this agenda item.
Please note that there are three pricing categories:
1. Scheduled maintenance (new price $1,159,076.13 annually)
2. As-needed additional services
3. As-needed services after weather emergency events
FUNDING SOURCE / FISCAL IMPACT: The FY2025 proposed budget contains the necessary funds as the increase was anticipated and planned for during the budget preparation process. These services are budgeted for in Fleet & Facilities, Public Works and Water and Sewer departments.
RECOMMENDATION: Staff has reviewed the supporting documentation and finds that it is in the best interest of the City to extend Contract #2020-002 with Affordable Landscaping Design and Service, LLC for an additional one-year term (October 1st, 2024 to September 30th, 2025) in the amount of $1,159,076.13 annually for scheduled maintenance services.
