Award Contract to Shade Systems in the Amount of $481,448.55 for Shade Structures at Veterans Community Park and Approve the Unity Foundation Agreement to use Donated Funds for the Shade Structures - Casey Lucius, Ph.D., Assistant City Manager

Body

BACKGROUND:

At the request of City Council, the staff has received a quote and design to install shade systems at Veterans Community Park (VCP).  The contract is a piggy-back contract from Alachua County School District.  Attorney, David Tolces has reviewed the contract along with the City’s Purchasing Manager.

In 2022, the City received a $1 million donation to enhance the bandshell at VCP.  Approximately $16,000 has been used to add lighting and sound.  In 2024, the donor agreed to allow the City to use $100,000 toward additional programming, which will be spread out over three to four years.  Recently, the City asked the donor to use the donated funds to purchase shade at VCP which will allow for additional events in the summer months.  On April 4, 2025, the donor agreed to utilize these funds for shade structures.

Attached to the agenda is an agreement with the donor, the quote for shade structures, and the Shade Systems contract.

FUNDING SOURCE / FISCAL IMPACT:  No impact on the City’s budget.

RECOMMENDATION:  Staff recommends awarding the contract to Shade Systems in the amount of $481,448.55 for shade structures at Veterans Community Park and approving the Unity Foundation Agreement to use donated funds for the shade structures.

POTENTIAL MOTION:  I move to award the contract to Shade Systems in the amount of $481,448.55 for shade structures at Veterans Community Park and approve the Unity Foundation Agreement to use donated funds for the shade structures.
